According to the dictionary, the word “Historian” means: one who writes or compiles a chronological record of events. To accomplish this, we must start by writing notes about meetings and descriptions of events that take place in our Units and Counties.

As Auxiliary members we also know that the Historian is one who is responsible for the compiling and preserving of the Unit and County records. My goal is to have each and every historian in New York, “BEE SPECTACULAR”, by taking pictures and recording narratives to help identify those participating in projects and events and to make a pictorial history book for your Unit or County.

Other Auxiliary members will “bee” interested in what your Unit has done. Please consider entering the contests for awards. Follow the directions carefully so that your entry will “BEE” eligible for award consideration.

I am confident that there are a number of “BUSY BEES” in the Department of New York who can share histories of their Units and Counties with the rest of us.

Madam President Karyn’s history book will be presented to her at her convention in July, 2010. I will need all of your help to fill the “BEE HIVE” full of memories for her. Please e-mail or send written reports and photos of Fall Conferences and Department visitations to your areas.

I will be sending a bulletin once I receive pertinent information from National Headquarters.

To the Unit Historian submitting the best “Pictorial
History Book”

To the County Historian submitting the best “Pictorial
History Book”
bulletDepartment Award:
To the Unit Historian submitting the best Unit History.

To the County Historian with membership of 10-1000
submitting the best County History.
bulletBetty Hutchings Award:
To the County Historian with membership of 1001 and
over submitting the best County History.
bulletDepartment Award:
To the Junior Historian submitting the best History
from an organized Junior Group – Unit or County

Rules for Unit, County and Junior Historians
(Be sure to follow all of the directions to avoid disqualification)

I. Introduction ( 10 points)

a. Title page
b. History of County or Unit Name
c. Unit President’s picture (optional, but if used, you need a 5 x 7 black and white or color photo)

II. Historical Content ( 70 points)

a. List of elected Unit or County officers for current year
b. List of Unit or County Committee Chairs for current year
c. List of National, Department, or District appointments and chairmanships held by Unit or County members
d. List awards received by Unit or County ( no description)
e. Write the history of the Unit or County beginning with installation and ending with the close of the final meeting of the year. Include all items of
interest and importance to the Unit/County.
f. The Unit Historian or the County Historian must sign just after the final
sentence of the history. A Junior Historian should sign also, including her age.

III. Appearance ( 10 points)

a. Cover: Use a blue binder for loose leaf paper with a foil American Legion Auxiliary seal centered on the front. Or you may use a purchased, regulation Auxiliary binder.
b. Paper: Use plain, white bond, 81/2” x 11”.
c. Margins: Left margin 10, right margin 75, leave 1” from the top and bottom of each page.
d. Juniors : may hand write their entry.

IV. Arrangement ( 10 points)

1. Entry should be written in the third person
2. Sentences should be clear and concise with correct spelling.
3. Special effects with typewriter or computer are not permitted.
4. No newspaper clippings should be included.
 

Rules for Pictorial History Book

I. General Appearance

  1. A purchased Auxiliary photo album, with the Auxiliary seal may be used.

  2. You may use a loose -leaf  binder with a foil American Legion Auxiliary seal attached to the center of the front cover.

II Contents

  1. Title page, including the name and number of the Unit, County or Junior Group and the name of the Historian (Junior Historian should include age).

  2. A picture of the Unit or County President with the name under the picture.

  3. Group pictures of Unit or County officers, identified by names under the picture.

  4. Descriptions of the activities of the past year, including pictures, programs, etc., with identifying names under the pictures.

  5. No Newspaper Clippings will be allowed for this category. Books containing clippings will be disqualified.

Counties should judge all Unit and Junior Historian submissions and submit only one (1) Junior and one(1) Senior Unit history for judging at the Department level.  County Histories should also be submitted to Department for judging.

All history books must be submitted to the Department Chairman no later than May 10, 2010.

REPORTING PROCEDURE:

UNIT CHAIRMEN:   Please  send  Unit Report Form to reach your County Chairman by the following dates: November 1, 2009, March 1, 2010,  May 1, 2010

COUNTY CHAIRMEN:  Please send County Report Form to reach the Department Chairman by the following dates: November 10, 2009, March 10, 2010,  May 10, 2010

Forms are in (PDF Format Download Adobe Acrobat Reader free) and can be filled out using your computer keyboard. However, you cannot save data typed into any  forms unless you have the Full Version of  Adobe Acrobat software! Please print at least 2 copies of your completed form, mail one to the chairman, and save one for your  records. If you try to e-mail it without the Full Version of  Adobe Acrobat software, the chairman will receive a BLANK PAGE...Include hours spent, number of volunteers, the number of Units and the value of anything you do.  Mileage should be reported at $.35 per mile and included in the dollar values for activities.

National Plans of Work

REPORTING
One of the most important responsibilities of
Unit Committee Chairmen

is to report the activities and work
on their programs.
This comprises all of the work done by the more than 50,000 members in our Department.
The
Unit Chairmen report to the County Chairmen, who in turn
report to the Department Chairmen
.

The Department's report to National is the factor that makes the
outstanding reports at the National Convention.
 
Chairmen are encouraged to enter all contests.
